Erasmus+ Programme

Erasmus+ enables students of the JU Institute of Information Studies to complete part of their studies or internships at foreign universities and institutions. Recruitment is coordinated centrally by the JU International Students Office via USOSweb → For students → Student. Detailed and regularly updated rules and schedules are available on the central Erasmus+ JU website.

Students enrolled at JU in first-, second-cycle or doctoral programmes (regardless of citizenship) are eligible to apply. Applications must be submitted exclusively via USOSweb → Student exchange.

Mobility capital: 12 months (360 days) per level of study; 24 months (720 days) for long-cycle Master’s programmes. All mobilities (study programmes, internships etc.) are counted together.

The duration of mobility is calculated automatically based on the dates provided in documents (one month = 30 days). Any changes (annexes) must be submitted at least 30 days before the end of the original funding period.

Second round (mobility: summer semester only, academic year 2025/2026)

Applications must be submitted exclusively via USOSweb → Student → Student exchange (up to three university priorities). Documents and detailed criteria are available on the central Erasmus+ JU website.

Note:

  • Within 7 days of qualification: send your list of courses to Dr Sabina Cisek (Deputy Director for Teaching) and either Dr hab. Monika Krakowska (coordinator for Information Management) or Dr Anna Folta-Rusin (coordinator for Electronic Information Processing)
  • LA (Before) in USOSweb/EWP is prepared after receiving approval of the course list; LA must be approved in EWP before departure (JU Institute of Information Studies)
  • IOS: for each compulsory course remaining at the Institute during your mobility, submit a separate IOS application (available at USOSweb → Applications or as a template from the JU Faculty of Management and Social Communication) by 30 September (winter semester) or 15 February (summer semester); submit the application to the course instructors/coordinators. wzks.uj.edu.pl

The JU Faculty of Management and Social Communication (including the JU Institute of Information Studies) applies the JU Common Qualification Criteria for KA131 (e.g. grade average, student activity, Rector’s scholarship). Detailed documents for 2025/2026 are published by by the JU International Students Office.

Step 1. List of courses to be completed abroad → Approval at the JU Institute of Information Studies

  1. Prepare a list of courses planned at the partner university (codes, ECTS credits, syllabi/URLs).
  2. Submit the list to the Deputy Director for Teaching at the JU Institute of Information Studies (Dr Sabina Cisek) and the Erasmus+ programme coordinator (Dr hab. Monika Krakowska) for preliminary verification of learning outcomes and compatibility with the Information Management curriculum (contact details available under the tab ‘Basic information’).

Step 2. Learning Agreement (LA) – ‘Before’ Section in USOSweb (EWP)

  1. Complete the LA (‘Before the mobility’) in USOSweb → Student exchange → Study programme, following the instructions provided by the JU International Students Office.
  2. The LA must be agreed upon with the Deputy Director for Teaching (Dr Sabina Cisek) and signed by the Erasmus+ coordinator (Dr hab. Monika Krakowska) in EWP.
  3. Once approved by both parties and the host university, the LA serves as the basis for credit recognition upon return (Table D ‘After’).

Step 3. Individual Organisation of Studies (IOS) – applications for courses completed at the Jagiellonian University during mobility

  1. If you are required to complete compulsory courses from the JU Institute of Information Studies curriculum during your mobility (e.g. project, seminar), you must do so within the framework of IOS.
  2. For each such course, submit a separate IOS application via USOSweb → Student → Applications (or using the JU Faculty of Management and Social Communication template, if a signature is required) before the semester begins:
    • by 30 September (winter semester),
    • by 15 February (summer semester).
  3. Submit the IOS form/application to each course coordinator/instructor listed in the LA. Agree on the method of assessment, deadlines, forms of synchronous/asynchronous contact, materials and passing thresholds.
  4. The decision regarding IOS is made by the Deputy Director for Teaching in accordance with JU Faculty of Management and Social Communication regulations.

Note: The name ‘IOS’ must be used consistently on the JU Institute of Information Studies website. Previous references to ‘IPS’ are misleading and should be replaced with ‘IOS’. (erasmus.uj.edu.pl)

Step 4. Financial agreement and insurance

  1. Once the LA is approved, the JU Office for International Students will prepare a financial agreement for the specified number of days (based on the dates in the document).
  2. Any changes to the mobility period must be reported ≥30 days before the end of the original funding period (annex).
  3. Ensure you have valid insurance (EHIC and accident insurance) covering the entire duration of your stay. If the mobility is extended, the insurance policies must be updated accordingly.

Step 5. During and after mobility

  1. Any changes to the LA (‘During’) must be made exclusively via EWP/USOSweb, after consultation with the JU Institute of Information Studies and the host university.
  2. Upon return, submit your Confirmation of Stay and settle all documents according to the instructions provided by the JU Office for International Students. Credit recognition is based on the LA (Table D ‘After’).

KA131 (studies) scholarship rates for the academic year 2025/2026: €670 (Group 1–2) / €600 (Group 3) per month – details and country groupings are available in the JU International Students Office tab: erasmus.uj.edu.pl

Internships (SMT) – rates are available at the JU International Students Office website; additional rules apply – internships must not overlap with other mobility

BIP – short intensive programmes; application has been temporarily suspended until September 2025 (check for updates).

Mobility is possible for one semester (winter/summer) or the full academic year, in accordance with the terms of the agreement between institutions.

Extensions or shortening of the mobility period require an application to the JU International Students Office and approval from the coordinators; the application must be submitted ≥30 days before the end of the funding period.
